Regulations for the IX Student Scientific Conference "The Many Faces of Biotechnology"
I GENERAL PROVISIONS
- The organizer of the scientific conference "Many Faces of Biotechnology" hereinafter referred to as the Conference, is KNSB "Operon" (Department of Biochemistry and Biotechnology, Faculty of Agriculture, Horticulture, and Biotechnology, Poznań University of Life Sciences), hereinafter referred to as the "Organizer."
- The Conference will take place on November 21st-22nd, 2026, at the Biocentrum of the Poznań University of Life Sciences, located at ul. Dojazd 11.
- These Regulations are an integral part of the registration for the Conference and apply to all Participants.
- Submitting the registration form via Microsoft Forms constitutes the Participant's acceptance of these Regulations.
- The Organizer reserves the right to make changes to the Conference program and regulations, as well as to change the date or cancel the Conference.
- In the event of cancellation, the Organizer will notify registered Participants via email no later than 3 days before the planned start of the Conference.
II PARTICIPATION CONDITIONS
- A Conference Participant must be an individual of legal age, in particular a student or a PhD candidate.
- There are two forms of participation in the Conference:
- Passive participation – A Participant who attends the lectures without presenting a presentation. A passive Participant may also be a coauthor of a presentation delivered by an active Participant.
- Active participation – A Participant who presents a presentation or a poster.
- Rules for oral and poster presentations:
- Presentations or posters can be presented in Polish or English, based on the choice made during registration.
- Each Participant delivering a presentation is allotted 15 minutes for their speech. Within this time, they should present their work in 10 minutes and respond to questions from the audience during the remaining 5 minutes.
- Each Participant may submit a maximum of two abstracts, provided that one is presented as a presentation and the other as a poster.
- Both a presentation and a poster may be delivered by no more than two Participants.
- Abstracts must be written in the language of the presentation, and the responsibility for correcting any spelling or grammatical errors rests with the authors.
- The subject of a presentation or a poster may be either original experimental work or a review.
- The abstract must be prepared according to the template provided at the end of the regulations and in a separate attachment. It should not exceed 3,000 characters including spaces (title, authors’ names, and affiliations included) and must fit on a single A4 page. The presenting author should be listed first
- Abstracts must be submitted by October 31st, 2026.
- Presenters are required to prepare a PowerPoint or PDF presentation and send it to operon.upp@gmail.com by 12:00pm on November 15th, 2026, or, in exceptional circumstances, the presentation may be delivered on a USB drive one hour before the Conference begins.
- Posters can be of any size. The Organizer will provide tape and stands for displaying posters.
III CONFERENCE RULES
- The deadline for online registration is October 31st, 2026. After this date, online registration will be closed unless extended by the Organizer. The Organizer reserves the right to refuse registration.
- The Organizer sets the Conference program and reserves the right to make changes, even on the day of the Conference, including changes in the schedule or the order of presentations. The Organizer also reserves the right to change the format of a submission from a paper to a poster. Participants will be informed of any possible changes no later than November 8th, 2026.
- The Organizer is not responsible for technical or organizational issues encountered by Participants that are beyond the Organizer's control.
- Participants bear full responsibility for the materials and information they present during the Conference. All statements and presentations must comply with legal regulations and respect the rights and personal interests of third parties.
- Participants agree to adhere to these Regulations, social norms, and the Organizer's organizational and technical instructions.
- The Organizer will provide technical support during the Conference. Questions should be directed to the Organizer via email: operon.upp@gmail.com.
- Each participant is required to provide accurate personal data enabling their identification.
- The right to speak during the discussion is granted at the discretion of the moderator appointed by the Organizer.
- All participants, both active and passive, will receive a certificate of attendance, which will be sent via email.
IV PAYMENTS
- The participation full fee is 130 PLN for both active and passive Participants if they opt for the meal option.
The basic fee is 100 PLN for Participants who opt out of meals.
- The full fee includes two coffee breaks and two lunches.
Lunch will be available in two options: meat or vegetarian. Participants must select their preference in the registration form, and this selection is final. Changes cannot be made during the Conference, and no refunds will be issued if lunch is declined by a participant.
- Accommodation is not included in the price.
- Participants wishing to receive an invoice should check the appropriate field in the form and provide the required data.
- A proforma invoice will be sent to the Participant after submitting the form.
- The invoice will be sent via email.
- Participants whose conference fee will be covered by the Poznań University of Life Sciences are requested to submit a letter from their department indicating the source of payment, along with the participant’s full name and the name of the conference.
- The fee is due by October 31st, 2026.

V CANCELLATION OF PARTICIPATION
Participants may cancel their participation by sending a notification to: operon.upp@gmail.com no later than November 7th, 2026.
VI IMAGE RIGHTS
Both active and passive Participants consent to having their image captured in photographs, which may be published on Facebook, Instagram, and the Poznań University of Life Sciences' websites.
VII DATA PROTECTION
In accordance with Article 13(1) and (2) of the EU General Data Protection Regulation (GDPR), we inform you that:
- The controller of personal data is the Poznań University of Life Sciences, with its registered office at Wojska Polskiego 28, 60-637 Poznań.
- In all cases, you may contact the Data Protection Officer at the above-mentioned postal address (with the note: Data Protection Officer, Poznań University of Life Sciences) or by email at: operon.upp@gmail.com.
- Personal data, including names, email addresses, phone numbers, academic titles, and affiliations, will be processed for:
- Registration and organization of the Conference on November 21st-22nd, 2026.
- Communication with Participants, documentation of the Conference, issuing certificates, and creating a list of Participants.
- Use of images and names for promotional, educational, and science popularization purposes on social media platforms such as Facebook and Instagram (knsb.operon, biotechnologia_upp, up_poznan).
- Personal data will be processed on the basis of:
- Article 6(1)(e) of the GDPR, in connection with Articles 2 and 11 of the Higher Education and Science Act of July 20, 2018 (as it is necessary to perform a task carried out in the public interest or in the exercise of official authority vested in the controller in connection with the mission of the higher education and science system, in the fields of education, scientific activity, fostering civic attitudes, and participation in societal development and the creation of an innovation-based economy);
- Article 6(1)(b) of the GDPR (as it is necessary for the performance of a contract to which the data subject is a party or to take steps at the request of the data subject prior to entering into a contract);
- Article 6(1)(c) of the GDPR (in connection with legal obligations arising from regulations and internal acts applicable at the Poznań University of Life Sciences);
- Article 6(1)(a) of the GDPR, based on your consent to the processing of personal data (in cases where you have agreed to the use of your image or to receiving information about future conferences and events).
- If personal data processing is based on consent, you have the right to withdraw your consent at any time without affecting the lawfulness of processing carried out before consent withdrawal.
- Personal data may be disclosed to the entity organizing the Conference and to other entities authorized under applicable legal regulations and agreements concluded with the Poznań University of Life Sciences. Your personal data (in the form of a recorded image) may also be processed by the service providers such as YouTube (Google LLC) and Facebook (Facebook, Inc.), in their respective data centers.
- Personal data will be stored for the period necessary to achieve the purpose mentioned in point 3 above, for the period of financial and accounting documentation retention by the Poznań University of Life Sciences. In cases provided for by law, personal data may also be processed for the period necessary to establish and pursue potential claims. In cases of consent to the use of an image or to receiving information, personal data will be stored until the withdrawal of consent.
- If you consent to the use of your image or to receiving information about future conferences and events, personal data will be stored until you withdraw your consent.
- You have the right to:
- access your data,
- rectify your data if it is inaccurate,
- request deletion, restriction of processing, or data portability in cases provided for by law,
- object to the processing of your data,
- file a complaint with the supervisory authority, which is the President of the Personal Data Protection Office (Prezes Urzędu Ochrony Danych Osobowych), located at 2 Stawki Street, Warsaw.
- Providing your personal data is voluntary, but necessary for the purposes mentioned in point 3 above.
VIII FINAL PROVISIONS
- Any disputes arising from participation in the Conference will be resolved by the court competent for the Organizer's registered office.
- Any matters not regulated by these Regulations shall be governed by Polish law.
